Set Up Folders and Rules in GMail

Google Tip: It is important to remember that in Gmail, folders are called "labels" and rules are called "filters". However, they function very much like the traditional folders and rules most of us are accustom to from other email clients.

Step-by-step instructions below:

Create Labels:

1.) Open up and sign into your ictech.edu Gmail.

2.) On the left hand side where your folders are located, you will see a "More" button like the one pictured below. Click this.

3.) Scroll all the way to the bottom of the newly appeared folders on the left, until you get to the bottom where it says "+ Create new label" and click that.

4.) In the pop-up box, enter the label's name in the appropriate space. If this is your very first label or you want to keep that label separated from others then click the "Create" button and you are done with this part! 

*If you want to nest this label into another existing label, continue to the next step.

5.) Check mark the box that says "Nest label under:"

6.) From the drop down, select the parent label that you want to put your new label under. Then click the "Create" button.

7.) Your label has been created! It will now show up on the left hand side with the rest of your folders.

8.) Now if you mouse over the label name and click the three dots that appear, a menu will appear from which you will be able to choose any customization you would like to add to the label you select.

Create Filters:

**Note that there are several ways to create/manage filters, but we will cover one of the faster and easier methods here**

1.) Select and open an existing email with the properties that you would like to filter other emails for (example: a specific sender, such as your supervisor)

2.) Click the three dots on the right side of the open message and a menu will open, like the one pictured below.

3.) Click the "Filter messages like this" selection from the menu.

4.) A new window, like the one pictured below, will appear that has auto-filled some of the information from this email to begin creating the filter.

5.) In this window, you can either leave it as is and only filter for the sender OR you can customize it to be more specific. When you have finished customizing, click the "Create filter" button. 

Note: If you click the "Search" button then it will only pull up the emails matching the criteria you laid out but will NOT create the filter. This is a good way to search for emails or test your filter before creating.

6.) After clicking "Create filter" another window should come up with check boxes, like the one pictured below. This is where you will choose what happens to the messages that match your filter criteria.This is where you can take hold and make the filter fit your needs.

Important: For the purpose of this article, the next steps are going to show you how to make this filter send messages matching the criteria go to a specific label without being seen in the regular Inbox, for a traditional rule that automatically sends certain mail to a certain folder.

Afterward you can apply the same principles, but make them fit your needs better.

7.) In order to make the message go straight to a specific label without being in the inbox too, we need to check-mark the "Skip the inbox (Archive it)" selection first. 

Don't be scared by the word "Archive", it is simply placing it in another area of your email structure. 

(If you would like to see it in the Inbox AND under the Label, then skip this step)

8.) Next, we need to check-mark the "Apply the label" selection and choose the label we want these messages to go to.

Note: You can also create new labels from here by choosing "New label"

9.) Finally, we also want the filter to pick up all of the already received messages that meet the criteria and put them in the specified label. So we need to check-mark the box that says "Also apply filter to matching conversations."

10.) Now you can add any extra customization to this if you want and click "Create Filter"

11.) It may take a few moments, but eventually you will be able to open that label and see all of the messages you have applied the filter to.
